THE OWNER'S QUESTION

Where is each job right now?

Most owners find out how a job went after it's over. The bookkeeper closes the month, the numbers come in late, and by then the crew has moved to the next one. You can't fix a job that's already finished.

Job costing means every dollar goes on a job by cost code and gets compared to the budget while the job is still open. CFOS reads from and writes to QuickBooks Online, so the books stay in QuickBooks and the job view works on top. The modules below each add one kind of cost.

COST BY CODE

Job costing by cost code, with time and burden

Each job has cost codes at three levels and seven cost types, measured against the budget from your estimate. The report updates every hour, so the PM can see a code going over while there's still time to do something about it. Cost codes are the same on every job, which is how you start comparing one to another.

Time goes on the job with labor burden by class. A laborer's hour costs more than the wage, and the job report should say so. Field time entry is approved, then it goes to QuickBooks Payroll, and the labor cost shows on the job.

FIELD AND COMMITTED

Dailies, POs and bills to jobs

Dailies capture the foreman's crew, equipment and photos for the day. That's where equipment hours and T&M tickets start, and it's the best record you'll have if the GC disputes a day. A purchase order commits cost before the bill comes, so the job shows what you've promised to spend and not only what you've paid.

Bills go to jobs by email. You send a bill to your bills inbox, CFOS reads it, codes it to a job and checks it against the PO. Equipment rates come from what it costs to own, and the rate is charged to the job each day the machine is on a daily.

WIP AND BILLING

WIP, over billing and under billing

WIP is the schedule your surety and your banker want, and it's also the best view of how the company is doing. The PM enters cost to complete each month, you approve it, and CFOS produces the WIP schedule with over and under billing by job. A master WIP rolls it into one page.

Over billing means you've billed more than the work done and are holding the GC's cash. Under billing means you've done work you haven't billed yet. Both are worth knowing, because over billing can hide a job that's losing money and under billing is cash you can go ask for.

QUESTIONS

What people ask

How often do the job numbers update?

Every hour. Costs posted in QuickBooks Online appear on the job report within the hour. They're compared to the budget as they come in.

Do I need to change my chart of accounts?

Usually not much. Cost codes live in CFOS and are written to QuickBooks. We can build the list with you through job costing setup.

What does cost to complete do?

Your PM estimates what's left to spend on each job at month end. After you approve it, CFOS uses that number for the WIP schedule. It also drives over and under billing.

Can my foreman see all of this?

Only what you allow. Roles and permissions go down to which jobs each person sees. They also control which numbers each person sees.
