Most contractors deploy equipment at hourly or daily rates that don't cover the real cost of owning, operating, and replacing it. Equipment cost basis is the answer to a simple question: what does it cost you to put this piece of equipment on a job site for one day? Most contractors use generic industry rates or last year's fuel cost. The real number is almost always higher, and the difference is bleeding margin on every equipment-heavy project.

WHAT THIS STEP DOES

The equipment cost basis calculation has four components that work together to produce the true cost of deploying any specific piece of equipment.

Component 1: Ownership Cost

Purchase price, or current market value, divided by expected useful life, plus financing cost if applicable. This is the daily ownership burden: what the equipment costs you simply to have it, before you turn the key. Most contractors skip this entirely and just track fuel.

Component 2: Operating Cost

Fuel, fluids, tires, wear parts, and consumables based on actual hours of operation. This is the variable cost; it scales with use. Most contractors track fuel but not the rest, which is why operating costs always look lower than they are.

Component 3: Maintenance and Repair Reserve

Annual maintenance cost averaged over expected hours per year, plus a repair reserve for major component failures such as transmissions, hydraulics, and engines. This is what most contractors forget until a major repair hits and blows the year's equipment budget.

Component 4: Replacement Reserve

Every piece of equipment will need to be replaced. Setting aside a per-day amount for replacement means you can afford the next machine when it's time. Without this, you finance everything and equipment cost basis is artificially low at the expense of future cash flow.

On a civil project running an excavator, dozer, and motor grader for 60 days, the difference between generic equipment rates and real cost basis can run $50,000 to $150,000 in unrecovered cost.   • Add annual maintenance and a repair reserve specific to each piece based on type and age
