WHAT THIS STEP DOES

Software and bookkeeping alignment has four parts: the right software, the right configuration, the right workflow, and the right cadence. All four have to work together. Fixing one without the others doesn't produce results.

Component 1: The Right Software

QuickBooks can work with significant configuration, but takes more setup and ongoing maintenance. Generic accounting software doesn't handle WIP, retainage, or job costing well enough for commercial subcontracting.

Software has to be configured to the 7-category job cost structure from Chapter 1, with cost codes that match the estimating phases from Chapter 4. Without this configuration, you have accounting software that records transactions but doesn't give you the data you need.

Generic accounting platforms typically can't handle commercial subcontracting requirements like WIP, retainage, and job costing at the depth needed.

It depends on their construction experience. Most bookkeepers are not familiar with construction job costing structure, WIP reporting, or the 7-category framework. SPM The Construction CFO often works alongside an existing bookkeeper to set up the system, then the bookkeeper runs it day to day.
