Use all of it, or just the part you need
Use all of CFOS or just the part you need. Job costing and QuickBooks are always on. The rest you can turn off and replace with your own tools.
We email you when CFOS for QuickBooks opens, plus a few updates before then. Your address stays with Run On CFOS. One click unsubscribes.

What is always on
Two things are always on: job costing and the link to QuickBooks Online. CFOS reads your jobs, cost codes, vendors, bills and invoices from QuickBooks and writes back what you post in CFOS. QuickBooks keeps the books.
Job costing is the reason the rest works. Costs go on the job by cost code against the budget from your estimate, and they update every hour. Everything else you turn on hangs off that.
What you can use or turn off
Around the core there are parts for billing, field work, time, bills and vendors, bids and people. Some contractors use every one. Others already have a CRM they like, a time clock app the crew knows, or a payroll company they're happy with, and they want CFOS for the numbers only.
The table below shows each part and which way you can go. In each row you can use CFOS's part, or connect yours and turn ours off. Job costing and QuickBooks don't have a second choice, because they're what the rest reads from.
| The job | Use CFOS | Or keep yours | What lands on the job |
|---|---|---|---|
| Books, bills and payroll entries | QuickBooks Online, required | Not an option | Everything is read from and written to your QuickBooks file |
| Job costing, budgets, WIP, over and under billing | Always on | Not an option | Job cost by cost code against the estimate |
| Leads, bids and follow-ups | CFOS bid pipeline | Your CRM | A won bid becomes a job with its contract value |
| Estimating | Import your estimate as the budget | Your estimating software | The estimate becomes the job budget by cost code |
| Change orders, T&M, RFIs and dailies | CFOS project management | Your project management software | Change orders and committed cost on the job |
| Time tracking | CFOS time entry | Your time clock app | Hours by job and cost code |
| Payroll and labor burden | Through QuickBooks Payroll | Your payroll company | Labor dollars with burden on each job |
| Photos and daily reports | CFOS dailies with photos | Your photo app | Photos and notes on the job |
| Pay apps and retention | CFOS billing, G702 and G703 | Your billing software | Billed to date and retention held |
Connecting yours
Turning a part off is a setting for your owner. Once it's off, your people don't see it, and no one has to ignore a screen they don't use. If you change your mind, you turn it back on.
To connect your own tool, your admin signs into that tool and approves the link. We never ask for a password. We agree in writing what moves where, for example time entries to QuickBooks Payroll or leads from your CRM into the bid pipeline.
How fast it connects
Most software connects in 5 business days or less. That's not a number for every tool, because it depends on the tool. It has to have a documented API and your plan has to include API access.
If the tool's maker has to approve us, the clock starts when they approve. If there's no API, we set up a file import instead. The full terms are on the promise page.
Same price either way
The price is the same whether you use one module or all of them. You don't pay less for turning a part off, and you don't pay more for turning everything on. It's priced by your revenue, and that's all.
That keeps the choice simple. Use what works for your company today. Add the rest when you're ready, or never.

What people ask
Can I use CFOS only for job costing?
Yes. Job costing and the QuickBooks link are always on, and you can leave everything else off. The price is the same. You can turn a part on later if you change your mind.
Do I have to give you my passwords?
No. Your admin connects the tool from inside that tool, and we never ask for a password. What moves where is agreed in writing first.
What if my tool isn't on your list?
Tell us the kind of tool and what should move on the request page. If it has a documented API and your plan includes API access, we can look at it. If it has no API, we set up a file import.
Does it work with QuickBooks Desktop?
No. CFOS works with QuickBooks Online only. More accounting systems are coming, and that's all we say about them today.
