Keep the app your crew clocks into
Your crew keeps clocking in where they do now. CFOS puts those hours on the job by cost code, with labor burden. Labor cost on the job report is then what it cost and not a guess.

From the clock to the job cost report
Most crews already have a time clock app on their phones, and they'll keep using it. Changing how the guys clock in is the fastest way to get bad data, so we leave that alone. What changes is what happens to the hours after they're entered.
The link reads hours by employee, by day, by job and by cost code from your time clock app. CFOS applies the wage class and the labor burden for that class, then posts the labor cost to the job. The PM sees the labor line move against the budget without waiting for payroll to close.
What we need from your side
We need two things from the time clock app. It has to have a documented API, and your plan has to include access to it. Some apps keep the API on a higher plan, so check that before you count on the link.
Your admin approves the link from the Connectors page in CFOS, and we never ask for a password. Then we agree in writing how the app's jobs and tasks match your CFOS jobs and cost codes. That matching list is the part that takes thought, because a crew that clocks to a job but no task needs a default cost code agreed up front.
- A time clock app with a documented API.
- A plan that includes API access.
- An admin who approves the link, with no password shared.
- A written list of how jobs, tasks and cost codes match.
Hours are approved before payroll sees them
Hours that come in from your time clock app go into an approval step first. The foreman or the office reviews them, fixes a wrong job or a missed lunch, and approves. Only approved time goes to QuickBooks Payroll, so a bad entry doesn't turn into a bad paycheck.
This is also where certified payroll weeks get laid out. CFOS lays out the week from approved time, and deductions stay with payroll. If your crew isn't on QuickBooks Payroll, read the payroll page, because that link works differently.
What a file import looks like
If your time clock app has no API, or your plan doesn't include it, we set up a file import instead. The app exports a time report, usually a spreadsheet, and you upload it to CFOS. We agree in writing which columns hold the employee, the date, the hours, the job and the cost code.
A file import costs one extra step each pay period, and it still goes through approval. Most offices do it the same day they close the week. If the app later adds an API, we switch you over.
How long it takes
Most software connects in 5 business days or less. Time clock apps with a documented API usually fit that. The conditions are in the list below, and we'd rather you read them now than find out later.
- The tool has a documented API and your plan includes API access.
- Your admin connects it. We never ask for a password.
- What moves where is agreed in writing before we start.
- If the tool's maker has to approve us first, the clock starts the day they approve.
- If there is no API, we set up a file import instead.

What people ask
Do my guys have to learn anything new?
No. They clock in the way they do now. The foreman may approve time in CFOS, and that's the only new habit.
Does the labor cost include burden?
Yes. CFOS applies labor burden by class to the hours. The job then shows what the crew cost with taxes and benefits and not only the wage.
What if the clock app and payroll disagree?
Approval catches that. You see the hours before they go to QuickBooks Payroll. You fix them in one place and the fix goes through.
Can I use CFOS field time entry instead?
Yes. CFOS has field time entry of its own, with approval, and it goes to QuickBooks Payroll the same way. Use it if you'd rather have one less app.
- Keep the tools that work. Connect the rest.
- Keep your payroll company. Get burdened labor on the job.
- Labor on the job with burden, not just hours
- Know your costs
- One price. Every module. Priced by your revenue.
- Use all of it, or just the part you need
