ONE JOB, ONE SET OF NUMBERS

Paperwork that already knows the cost

Most project management tools track paper and don't know what the job cost. Your accounting file knows the cost and doesn't know about the paper. So a PM answers the same question twice, once in each place, and the two never agree.

In CFOS the paper and the cost live on the same job. A change order raises the contract and the budget together. A PO adds committed cost the moment it's issued, and a pay app bills against the schedule of values that came from the contract.

It all works on top of QuickBooks Online, which keeps the books. Your bookkeeper doesn't change what she does. The PM just stops keeping a second set of numbers.

WHAT'S IN IT

What a PM can do

Foremen fill in dailies with the crew, equipment and photos. A T&M ticket goes on the daily, the GC signs on site, and it becomes a change order draft. RFIs, submittals and punch items are tracked on the job with who owes what.

POs are written against the job budget and checked against the bills that come in. Pay apps are built from the schedule of values, with retainage and stored materials. Each piece writes to job cost, so no one retypes a number into a second system.

  • Change orders and T&M tickets, with revisions kept
  • RFIs, submittals and punch items
  • Dailies with crew, equipment and photos
  • POs checked against bills
  • G702 and G703 pay apps
MONEY

Change orders and pay apps are where it pays off

Extras that never get billed are the biggest leak on a lot of jobs. The flow from daily to signed ticket to change order to pay app closes that leak, because nothing waits for someone to remember. The details are on /project-management/change-orders.

Pay apps are the other half. You build the G702 and G703 from the schedule of values and send it from QuickBooks or log it for another system. Due dates come with reminders to the PM, and /project-management/pay-apps explains how that works.

WHO SEES WHAT

Who sees what

Roles and permissions are set per person, down to which jobs and which numbers they see. A foreman sees his own jobs and dailies, and he doesn't see margin. A PM sees the jobs she manages with cost and billing, and the owner sees everything.

The same rules apply when someone asks Claude or ChatGPT about your jobs. It reads only what that person's sign in allows, and it can't change anything. Vendors get their own portal where they upload documents and see their payments, and they see nothing else.

INCLUDED

Already have one? Keep it

If your PMs like the tool they use now, keep it. The Connectors page has a Connect button for the apps contractors use, and /connect explains what moves where. Most software connects in 5 business days or less, subject to the conditions on that page.

If you'd rather have one place, turn on the project management module in CFOS. Either way it's included in the one price. There's no add-on charge for it.

QUESTIONS

What people ask

Can I turn on only the parts I need?

Yes. You can use CFOS for change orders and keep your own tool for RFIs, or the other way around. Every module is included in the one price, so there's no cost to turning more on later.

Do my foremen need to learn accounting?

No. They fill in the daily with crew, equipment and photos from a phone browser. The cost side is handled behind the scenes, and they never see a ledger.

Do you have a native mobile app?

Not yet. CFOS works in the browser on a phone, and that's what foremen use today. We won't call it an app until it's one.

Does it replace QuickBooks Online?

No. QuickBooks Online keeps the books, and CFOS reads from it and writes to it. Your bookkeeper keeps working in QuickBooks Online as before.
