For PMs who want to know how the job is doing
You know how the job is going before the owner asks. Cost to complete, the change order log, dailies and pay apps are in one place. You see your own jobs and no one else's.

Your jobs, your numbers
A PM is judged on whether the job finishes on budget. You can't do that from a report that comes out three weeks after the month ends. CFOS shows job cost against the budget by cost code, updated every hour.
You see your own jobs only. The other PMs' jobs and the company numbers aren't on your screen unless the owner gives you access. That keeps your view short and useful.
Cost to complete and committed cost
At month end you enter cost to complete on each of your jobs, by cost code. The controller or owner approves it, and it feeds the WIP schedule. A job that's going to lose money gets flagged while there's still time to change something.
Committed cost is what you've signed and not yet spent, from POs and subcontracts. That's the number that tells you whether cost to date is hiding a problem. The rest of the budget is what you can still spend.
The change order log, dailies and T&M
The foreman fills out a daily with the crew, equipment and photos. If the work is extra, a T&M ticket rides on the daily and the GC signs it on site. It becomes a change order draft, and it goes on the next pay app.
The change order log keeps numbers and revisions in order, so you know what's pending, approved and billed. RFIs, submittals and punch items are tracked next to it. Nothing lives in your truck or in an old email.
Pay apps with due dates and reminders
Pay apps are built on the schedule of values with retainage and stored materials. CFOS sets the due date and reminds you. You tell the office what percent is complete, and they send it, because a late pay app is a late check.
What you stop doing
You stop emailing the office for a cost report and stop keeping a private spreadsheet of change orders. You stop guessing where the job is before the owner's Monday call. The numbers are already on your screen.
Most of the time you save goes back to the field, where the job is. The office gets fewer calls too. Everyone works from the same numbers.
- Asking for job cost reports
- Tracking change orders in a spreadsheet
- Rewriting T&M tickets at the office
A PM at a $4M contractor may own every job, while a PM at $30M owns a few. In both cases the seat shows only the jobs you're assigned. The owner or controller can add more.

What people ask
What does a project manager enter in CFOS each month?
Cost to complete on each of your jobs, by cost code. The controller or owner approves it. The number then feeds the WIP schedule.
Can a PM see the other PMs' jobs?
No, not unless the owner allows it. Permissions go down to which jobs and which numbers each person sees. The same limits apply when a PM asks Claude or ChatGPT.
How does a T&M ticket become a change order?
The foreman logs it on the daily and the GC signs on site. It becomes a change order draft. The draft goes on the next pay app.
Does a PM get reminded when a pay app is due?
Yes. Pay app due dates come with reminders to the PM. That way the app goes out on time and the check isn't late.
