For the controller who owns the WIP
You own the WIP. CFOS builds it from live job cost and tracks over and under billing and cost to complete approvals. The surety package ties to QuickBooks Online.

Build the WIP from live job cost
The controller seat starts with job cost that's already current. CFOS reads jobs, cost codes, vendors, bills and invoices from QuickBooks Online every hour, and the cost is set against the budget by cost code. You aren't exporting a trial balance and pasting it into a workbook.
Seven cost types and three levels of cost code give you the detail the WIP needs. When a PM asks why a number moved, you open the job and look at the bills. The answer is in the data.
Over and under billing, from the same data
The WIP schedule calculates over and under billing from approved cost to complete, contract value and billed to date. Billing comes from the invoices in QuickBooks, so the schedule agrees with the receivable. You don't reconcile two sets of numbers.
A job that's overbilled by a lot gets your attention before the surety's. You can see it by job and in the master WIP. The same schedule feeds the CEO Report.
Cost to complete approvals and the master WIP
Each month the PMs enter cost to complete. You review them, ask about the ones that moved and approve. The approved figures feed the WIP, and the master WIP rolls every job into one schedule.
You also see who hasn't entered theirs. A missing cost to complete is the most common reason a close drags. Now you can see it on day two and not on day twelve.
The month end steps
The steps go in the same order each month. Match the bank, code and post the bills, bill the pay apps, collect cost to complete, approve it and review the WIP. Then you send the surety package and the CEO Report.
Because the data comes from QuickBooks, the package ties to the ledger. If a number is off, the answer is a bill, an invoice or an unapproved cost to complete. You can find it in minutes.
- Match the bank and code the bills
- Post pay apps and retainage
- Collect and approve cost to complete
- Review over and under billing
- Send the WIP package to the surety and bank
What the controller holds
The controller sees every job, the margins, the AP and AR, the bank and the WIP. You approve cost to complete and you set who else sees what, down to jobs and numbers. The same limits apply when anyone asks Claude or ChatGPT a question.
What you stop doing
You stop rebuilding the WIP workbook each month and stop emailing PMs for numbers in five formats. You also quit tying the schedule to the ledger with formulas. The software does the tying because it reads the ledger.
The month-end work shrinks to review and judgment. You spend your time on the jobs that look wrong, not on the formulas. That's the part of the controller job that needs a controller.
At $10M to $50M the controller owns the close. A $14M company pays $1,950 a month, and every module is included. Check the pricing page for your size.

What people ask
How does a controller build the WIP in CFOS?
Job cost comes from QuickBooks Online every hour, and PMs enter cost to complete. You approve it. CFOS then calculates the WIP schedule with over and under billing.
Will the surety package tie to QuickBooks?
Yes, because the figures are read from QuickBooks and not retyped. Billing comes from the invoices and cost comes from the bills. A number that's off traces back to a transaction.
What does the master WIP show a controller?
It rolls every job into one schedule. You see total over and under billing and which jobs drive it. That's the page the surety and the bank ask about first.
Can a controller limit what a PM or estimator sees?
Yes. Permissions are set per person, down to which jobs and numbers they see. The same limits apply when they ask Claude or ChatGPT.
- A WIP schedule that builds itself from job cost
- Over and under billing on every job, every month
- Job costing and WIP for contractors doing $10M to $50M
- For PMs who want to know how the job is doing
- A WIP your surety accepts, every month
- One price. Every module. Priced by your revenue.
- Use all of it, or just the part you need
