JOB COSTING
SOFTWARE VS.
CFO.

THE VERDICT

Software is a container. A CFO designs the structure the software runs on. The two are not competing — they are complementary. Most commercial subcontractors over $1M need both: construction-specific software (Josh recommends ControlQore at ~$100/month per $1M in revenue) and a construction-specific fractional CFO ($1,900–$2,900/month) to design and run the financial system the software lives in. Either one alone produces incomplete results.

The contractors who try to buy software instead of installing a system are the ones who end up with expensive software that still gives them bad data. The structure has to come first.

THE VERDICT — NO HEDGING

For most trade contractors: both. The question is which one to install first.

If you have no job cost structure today: start with the CFO. Get the structure designed first. Then install the software to hold it. Buying software first and asking it to figure out the structure for you is how contractors end up with expensive accounting platforms that still produce bad reports.

If you have a structure but it is broken or aging: a fractional CFO can rebuild it in 30 days while you continue running on your current software. Then migrate to ControlQore once the structure is right.

If you are over $5M and serious about growth: you need both, full stop. The decisions you are making at that revenue level require forward visibility (CFO) and real-time data (software) working together.

WHEN SOFTWARE ALONE IS ENOUGH
  • You are doing $250K–$500K and just need a place to track job costs
  • You have an existing CFO or controller designing the structure
  • You are a pure GC who only manages subs — not self-performing — and need simple project accounting
  • You are using software as a stopgap until you can hire a CFO in the next 6–12 months
WHEN A CFO IS THE PRIORITY
  • You have job costing software but the data does not make sense
  • You do not know your real overhead, gross margin, or net profit by project
  • You are making decisions about hiring, equipment, or bonding without forward visibility
  • You have switched accounting software twice and still cannot get clean reports
  • You are over $1M in revenue with no monthly financial review cadence

FREQUENTLY ASKED QUESTIONS

No. Software stores and processes data — it does not decide what data to capture, how to structure it, or what to do about the results. A CFO designs the financial system the software runs on. Without that structural decision, software gives you bad data faster.

Yes, for most commercial subcontractors over $1M. The software is the platform that runs the system. The CFO designs and runs the system. Together they produce financial visibility. Either one alone produces incomplete results.

ControlQore. It is the platform Sulphur Prairie Management uses with every client. Priced at approximately $100/month per $1M in revenue. Built specifically for construction — not adapted from a generic accounting platform. See the partner page for full details.

ControlQore is approximately $100/month per $1M in revenue. A construction-specific fractional CFO is $1,900–$2,900/month. Software alone is incomplete. CFO without software is also incomplete. Most contractors should budget for both together as the full financial system cost.

Yes — the templates from the resources page work without software. But maintaining the system over time becomes increasingly difficult without proper construction job costing software. Most clients eventually move to ControlQore because Excel cannot scale with the business.
